Donor Privacy Policy

East-West Financial Privacy Policy

It is the desire of East-West to protect donor confidentiality and accounting information in all circumstances. For that reason, the following policies have been established and strict adherence to the policy is required on the part of all ministry personnel who have access to financial information. 

Donor and Contribution Information

If a donor requests his gift to be anonymous, the gift will be indicated anonymous and any reports run where this gift may appear will not include the donor’s identifying information. 

East-West staff members will be given access to donor and contribution information only as required in the performance of their responsibilities. In addition to the financial services department staff, donor information is available to assigned staff members of the development and marketing department as approved by the Executive Vice President of Development and members of the Executive Team. 

All donor and contribution information will be kept either electronically in our password, access-protected donor software and accounting software. Any donor or contribution information in paper form is maintained in locked file cabinets in the Financial Services office. Paper donations or contribution information that is no longer needed will be shredded. 

All reports related to donor and missionary accounts will be provided monthly to the EVP of Operations, EVP of Field Ministries, and Director of People Services. The reports will be used to monitor missionary account balances in order to determine whether to involve managers with this information. 

It is also the policy of East-West to never disclose, rent, or sell our donor list or any donor information to any individual or organization outside of the ministry, except to our Auditors. 

East-West adheres to ECFA Standard 7.2 that states: Occasionally, givers request a refund of a charitable gift they made previously. Since contributions must be irrevocable to qualify for a charitable deduction, there generally is no basis to return a charitable gift to a donor.” However, on rare occasions a donor may be refunded if a gift was made in error, and it was clearly not the intent of the donor to initiate the charitable donation in the first place. This will be reviewed by the Financial Services Department on a case by case basis.

East-West has created this privacy policy to explain why we collect particular information and how we will protect your personal privacy within our website. The following discloses our information gathering and dissemination practices for the websites located at eastwest.org or eastwest.managedmissions.com.

Collection and Uses of Your Information

Our registration forms require users to give us contact information that may include name, email address, email preferences, address, interests, and similar information. We do not request or store sensitive information from our visitors, such as credit card or social security numbers. In partnership with Paperless Transactions, East-West is fully PCI compliant.

Internet Protocol Address

We collect an IP address from all visitors to our website. An IP address is a number that is automatically assigned to your computer when you use the Internet. We use IP addresses to help diagnose problems with our server, administer our website, analyze trends, track users’ movement, gather broad demographic information for aggregate use in order for us to improve the site, and deliver customized, personalized content. IP addresses are not linked to personally identifiable information.

Use of Cookies

Our website may use cookies to enhance your experience while using our website. Cookies are pieces of information that some websites transfer to the computer that is browsing that website and are used for record-keeping purposes at many websites. Use of cookies makes web-surfing easier by performing certain functions such as saving your passwords, your personal preferences regarding your use of the particular website, and to make sure you don’t see the same ad repeatedly. Many consider the use of cookies to be an industry standard.

Security

All security-senstive information provided to East-West (i.e. donations, various application forms, etc.) is transmitted using SSL (Secure Socket Layer) encryption. SSL is a proven coding system that lets your browser automatically encrypt, or scramble, data before you send it to us. You can verify that your information is being submitted securely if the URL contains https instead of http. If you are concerned that your information is not being passed securely, please call 972-941-4500.

Unfortunately, however, no data transmission over the Internet is 100% secure. While we strive to protect your information, we cannot ensure or warrant the security of such information.

Email Preferences

At any time, you may opt in or out of emails. In order to opt into emails, please visit our Email Updates page. In order to opt-out of an email, please update your email preferences.  We only add an email record to an email list if we have been given permission (verbal, written or through our website) to do so.  All email messages sent to our corporate email lists contain an unsubscribe link. It is our best practice to try and honor your subscription requests by the next scheduled email message. In some cases, you may receive an email from an individual that doesn’t contain an unsubscribe link. Please respond to that email or contact [email protected] if you wish to unsubscribe and cannot find an unsubscribe link.
